A clean outside does not tell the whole story. Turn the sample over and agree what to check before discussing the bulk order.

Follow the sweatband.
Look for twists, puckering and rough joins around the opening. Feel the attachment seam and the area behind the decoration. Mark the exact position of anything uncomfortable on a photo.
Open the seams to view.
Inspect the seam tape, loose thread ends and the meeting point of the panels. Compare the left and right sides with the approved reference; a front-only photo can hide an uneven assembly.
Use the closure, then check again.
Open and close the fastening, adjust it to the intended fit and inspect the strap attachment. Record the setting used so the next review compares the same fit.
Keep the approved details attached to the order.
A sample is useful only when the production team can identify which version it represents. Agree the construction, artwork and order breakdown together before discussing bulk headwear production.
Sample identity
Record the style name, colorway and sample revision. Keep front, side, rear and interior references together. When a new sample changes one detail, state whether the other approved details carry forward.
Material & artwork reference
Identify the fabric, component colors, logo dimensions and placements. An approval such as “use the navy one” is ambiguous when several navy fabrics or thread shades have been discussed. Attach the named reference to the decision.
Inspection priorities
FORMBRIM carries out 100% inspection. Discuss the specific points your order requires: construction, visible decoration, labels and packing. If you have acceptance criteria, supply them in advance; the inspection statement alone does not define a testing standard.
Packing & repeat-order record
List quantities by style and color, required labels and carton instructions. Retain the approved specification for future orders. If fabric, trims or the artwork version change on a reorder, identify the change and discuss whether another sample is needed.
The hat is only part of the handover.
A clear order also identifies what is packed, where it goes and which record to use if something differs. Resolve these points while the specification is still being agreed.

Approve one complete order record
Keep the approved sample identifier beside the final artwork, component colors, measurements and quantity breakdown. List labels, hangtags and packing on the same revision. A change to the logo after approval needs a recorded decision about price, sampling and timing before it becomes an instruction for production.
Agree the commercial scope
The quotation should separate hat unit prices, sample charges, any separately quoted setup work and transport. Confirm currency, payment stages and their due dates in writing. These are order-specific terms: a sample fee is not a production deposit, and an estimated unit price is not a confirmed order.
Make the delivery destination usable
Provide the delivery address, postcode, receiving contact and required arrival date. Identify split destinations and carton-label requirements before packing. Ask the quotation to state the shipping method, delivery term, and responsibility for customs clearance, duties and taxes. Production completion and arrival are different dates.
Report a discrepancy with a reference
If a delivered item differs from the agreed specification, keep the affected pieces and packing. Send the order reference, style and colorway, affected quantity, carton labels, an overall view and close-up photographs beside the approved reference. Identify whether the issue is fit, decoration, construction, quantity or transit damage so the next action can be discussed against the order record.
Refunds, replacements and other remedies for bulk orders are governed by the agreed order terms and the review of the reported issue; this guide does not promise an automatic outcome.
